The LSRHA photo archive is here to support books and magazine articles on railroad history. However, authors desiring photos/drawings/ephemera items for reproduction need to be aware of the different handling than ordering directly through SmugMug. Please read the following instructions carefully before heading down the path of obtaining items for publication use. If there are questions, please email us. INSTRUCTIONS FOR USE IN PUBLICATIONS
Authors are encouraged to review our collections online. After candidates are selected and confirmed for publication use, fill out and submit the Permission Request Form. Payment must be made via paypal or check/money order before scans are provided. It is recommended editors participate in this process to ensure only images confirmed for use will be ordered.
Scans will only be delivered directly to the production entity that will place that image in the publication. Files are JPEG format unless otherwise requested, 3600 pixels wide or tall, saved at highest quality setting, and will be free of any watermark or logo monogram. Please see the Permission Request Form for full use and citation requirements. A copy of publication containing image(s) used must be sent to Lake States upon completion.
If authors desire a personal copy of image(s) for reference use, they may order prints or downloads through SmugMug at their own expense. These personal SmugMug scans cannot be re-distributed to editors or others, or used for publication. They are for personal private use only as outlined HERE.
SCAN COST FOR ALL PUBLICATIONS (updated 1/21/24)
- 3600 pixel JPEG scans, $10 each
- 3600 pixel TIFF scans, $25 each (by special request)
- 10% discount on orders of 10-19 images
- 20% discount on orders of 20 or more images
- Discount is applied on a per-order basis
- Files must NOT be used for ANY purpose other than the original one-time print publication by original requestor and must not be re-distributed.
- Use Permission Request Form to place order.
PRINT PUBLICATION FEES (One-Time Use Only, in addition to Scan Cost)
- Film and Video: $200 for first image, $50 per image after
- Print (books and magazines, circulation <2500): $10 per image
- Print (books and magazines, circulation >2500): $25 per image
- Print (brochures, pamphlets): $15 per image
- 501 (c)(3) Non-Profit Print (granted to publication personnel only, e.g. railroad historical society staff): no charge
- Payment must be received before permission is granted
- Quantity discounts are the same as for Scans
DIGITAL PUBLICATION FEES (One-Time Use Only, in addition to Scan Cost)
- Social Media use NOT ALLOWED
- Website or other static page for historical or illustrative purpose: $10 per image (no charge for 501(c)(3))
- Promotional use for revenue generating purpose: $25 per image (all users)
- Use in a logo or graphic: $100 (all users, LSRHA logo/text embedding waived)
- Payment must be received before permission is granted
- Quantity discounts are the same as for Scans

PRE-PRESS DIGITAL PRODUCTION INFORMATION FOR DESIGNERS
Most all of our negatives and 120-format color transparencies are scanned at 2400 dpi, and saved as uncompressed 16-bit TIFF files. 35mm color slides are scanned at 4000 dpi yielding an image about 5200 pixels wide. Adjustment of levels (95% maximum, 4% minimum black, midtones as needed) is done in Photoshop. For color (RGB) images, those that have moderate to severe color shift are adjusted, however, color will not be perfect. It is understood that color and levels may need to be adjusted by production staff for publication. Scratches, dust specks, and blemishes on images have been manually removed as time allows. Ektachrome and other single-emulsion color 35mm slides have digital ICE applied at time of scanning to help remove dust and scratches.
